Job Summary:

The Receptionist / Office Supervisor serves as the first point of contact for clients and families and plays a key role in the day-to-day operations of the clinic. This individual will be responsible for front-desk duties, client communications, and supporting administrative processes to ensure a smooth and welcoming experience for all.

Key Responsibilities:

Reception Duties:

  • Greet clients and visitors with warmth and professionalism
  • Answer phone calls, return voicemails, and direct inquiries to the appropriate team members
  • Schedule appointments, maintain therapy calendars, and manage cancellations/reschedules
  • Monitor client attendance and notify appropriate staff of changes
  • Address client concerns professionally and promptly, or escalate to the appropriate person or department when necessary

Administrative & Office Management:

  • Maintain updated client records and documentation (e.g., intake forms, insurance cards, consent forms)
  • Ensure timely collection of required paperwork and authorizations
  • Support insurance verification and intake coordination when needed
  • Maintain cleanliness and organization of the reception and common areas
  • Order office supplies and therapy materials as needed
  • Communicate effectively with clinical and administrative team members

Supervisory Duties (if applicable):

  • Oversee front office assistants or volunteers (if applicable)
  • Collaborate with leadership to improve office procedures and systems
  • Support the onboarding of new administrative staff

Qualifications:

  • High school diploma or equivalent (associate’s or bachelor’s degree preferred)
  • Prior experience in a medical office or therapy clinic is strongly preferred
  • Excellent organizational and communication skills
  • Professional, friendly, and patient demeanor
  • Ability to multitask and remain calm in a fast-paced environment
  • Bilingual (English/Spanish) is a plus

Work Hours & Compensation:

  • Full-time, Monday through Friday
  • Compensation based on experience
  • Benefits package available after probationary period
